We''re looking for a candidate to join for a 3 month contract, where you''ll be based in Marylebone, Central London.About the Organization
Our client serves the eight boroughs of NW London, bringing together healthcare and care organizations to achieve the four core national objectives of ICSs. It is responsible for planning, managing the healthcare budget, and arranging healthcare services in NW London. The vision is to reduce inequalities, improve health outcomes, and reduce health disparities across the entire population of North West London.Job Summary
To support the planning, organisation, and delivery of Health Equity Summit working with Health Equity Programme colleagues and other appropriate stakeholders.Key Responsibilities
Conference planning and coordinationAssist in the planning and coordination of all aspects of conferences, seminars, and eventsLiaise with venue, delegates and suppliers for booking and logisticsCoordinate registration processes, including handling delegate inquiries and bookingsManage queries, check Healthy Equity inbox and respond to them in a timely mannerMaintain delegate list and list of speakers and workshop leadsKey point of contact for delegates and suppliersPrepare and maintain event documentation (e.g. delegate lists, signage, agenda)Track and monitor event budgets, capture spend and raise Purchase OrdersMaintain folders and documentation ensuring version controlSupport with identifying and working with volunteers within the sectorAssist in drafting promotional materials, emails, and post-event communicationsOn-site support leading to and on the day of event including setting up for the event, preparing badges, taking materials to the event, registration desk management and delivery of tasks according to agendaTroubleshoot and resolve issues as they arisePost-Summit: Coordinate feedback collection from attendees and support with event reportPerson Specification
Experience:Previous administrative experienceKnowledge of working in NW London and with ICB stakeholdersExperience working with event management software (e.g., Eventbrite) is desirableSkills and competencies:Excellent organisational and time-management skillsAbility to work under pressure and meet deadlinesStrong written and verbal communication abilitiesGood attention to detail and ability to multitaskProficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)Effective organiser and networkerProfessional calm and efficient mannerAbility to work on their own initiative and in a teamCompleter/FinisherOther Requirements:Willingness to work flexible hours, particularly on the day of the eventAbility to travel to NW London ICB office and conference venue as and when required
