Our client, a specialist in mechanical engineering services including HVAC, plumbing, and facilities mangement, is seeking a proactive Office Administrator to ensure smooth day-to-day operations and support their busy engineering team.
About the Client
Our client delivers comprehensive design, installation, and maintenance services across commercial, residential, and industrial sectors. With a strong reputation in HVAC, plumbing, and facilities management, they are known for their reliability and technical expertise.
Responsibilities
Act as the first point of contact for clients and service providers, handling calls, emails, and inquiries.
Coordinate engineers’ schedules, site visits, and internal meetings.
Prepare and maintain quotes, contracts, certificates, and compliance documentation.
Manage office supplies, vendor relationships, and clerical tasks (filing, data entry, mail handling).
Support finance and leadership teams with invoicing, timesheets, and reporting needs.
Qualifications
Previous experience in an administrative or customer-facing role, ideally within the construction industry.
Strong organisational and multitasking skills with attention to detail.
Proficiency in MS Office (Word, Excel, Outlook).
Excellent communication and interpersonal abilities.
Ability to adapt quickly in a fast-paced, customer-focused environment.
Benefits
